Privacy Policy

KochWorks LLC ("KochWorks", "we", "us") respects your privacy. This policy explains what information we collect, why we collect it, how we use it, and the choices you have. It applies to kochworks.io and to the services we provide to our clients.
1. Information we collect
Information you give us
- Contact details — name, business name, email address, phone number, and mailing address, when you contact us or become a client.
- Account and onboarding information — details about your business, lead sources, and the message content you approve.
- Billing information — handled by Stripe. We receive the last four digits, card brand, and expiry of your payment method, plus billing address and invoice history. We never receive or store your full card number.
Information we process on your behalf
When we operate a lead response system for a client, we process contact details and message content belonging to that client's customers. We act as a service provider (processor) for this data and use it only to deliver the service to that client.
Information collected automatically
Our website collects basic technical information such as IP address, browser type, pages visited, and referring page. We use this only to keep the site working and to understand overall traffic.
2. Cookies
This website uses only the cookies strictly necessary for it to function. We do not use advertising cookies or third-party tracking pixels on this site. If that changes, we will update this policy and, where required, ask for your consent first.
3. How we use information
- To provide, operate, and support the services you purchase.
- To process payments and send invoices and receipts.
- To respond to your enquiries and support requests.
- To send service and billing notices relating to your account.
- To meet our legal, tax, and accounting obligations.
- To protect against fraud, abuse, and misuse of the services.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
4. Marketing messages
We only send marketing email to people who have asked to hear from us or who are existing clients. Every marketing email includes an unsubscribe link. Unsubscribing does not stop essential service and billing notices about your account.
5. Who we share information with
We share information only with service providers who help us run the business, and only to the extent needed:
- Stripe, Inc. — payment processing.
- Hosting and infrastructure providers — to host this website and our systems.
- Messaging and telephony providers — to deliver SMS, voice, and email on a client's behalf.
- Professional advisers — accountants and legal advisers, under confidentiality.
We may also disclose information where required by law, or in connection with a merger, acquisition, or sale of assets, in which case we will notify affected clients.
6. Data retention
We keep client account records for as long as your account is active and for up to seven years afterwards where needed for tax and legal purposes. Customer conversation data processed on a client's behalf is deleted within 90 days of that client's account closing, unless the client asks us to delete it sooner or the law requires us to keep it longer.
7. Security
We use industry-standard safeguards, including encryption in transit, access controls, and limiting access to the personnel who need it. No method of transmission or storage is completely secure, but we take these obligations seriously and will notify affected parties promptly if a breach affecting personal information occurs.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise any of these, email hello@kochworks.io. We respond within 30 days and will not discriminate against you for making a request.
If you are a customer of one of our clients and want your data removed, contact that business directly, or contact us and we will pass the request on to them.
9. Children
Our services are for businesses and are not directed to anyone under 16. We do not knowingly collect personal information from children.
10. International users
We operate in the United States, and information we collect is processed and stored there. If you contact us from outside the United States, you understand your information will be transferred to and processed in the United States.
11. Changes to this policy
We may update this policy. Material changes will be posted here and, for active clients, communicated by email. The "last updated" date above reflects the current version.
